The fastest reconciliation and the deepest app ecosystem of any package we tested. Xero is the default choice for UK limited companies, as long as you can accept online-only support and invoice limits on the entry plan.

What we tested

Following our standard method, we loaded Xero with twelve months of books for a VAT-registered limited company (around 1,400 bank transactions, 60 sales invoices, two employees) and a sole trader consultancy. We connected live bank feeds, reconciled every month, filed a VAT return to HMRC's test service, ran payroll, and raised two support cases to time the responses.

Ease of use: reconciliation is the killer feature

Xero's bank reconciliation screen is why accountants recommend it. Transactions arrive on the left, Xero's suggested match sits on the right, and you confirm with one click. Its suggestions were right for 87% of our test company's transactions, and bank rules mopped up most of the rest. A typical month took us under 20 minutes to reconcile. QuickBooks got close; Sage and Zoho took noticeably longer.

New users should expect a fortnight of mild confusion with Xero's vocabulary ("Ignite" plans, "contacts", "bills" versus "invoices"), but the workflow becomes muscle memory quickly. The demo company is a genuinely useful sandbox: you can practise on fake data before touching your own books.

MTD and VAT filing

Xero is HMRC-recognised for both MTD VAT and MTD for Income Tax. VAT returns are prepared from your reconciled data, checked against the 9-box summary, and filed to HMRC from inside Xero; our test return went through first time. Flat Rate, cash and standard schemes are all supported, including the domestic reverse charge for construction.

For MTD for Income Tax, live since April 2026 for sole traders and landlords with qualifying income over £50,000, Xero handles the quarterly updates from your digital records. UK bank feeds

Every bank we tried connected first time via open banking: Barclays, HSBC, Lloyds, NatWest, Santander, plus Starling, Monzo, Tide and Revolut Business. Feeds refresh several times a day; Starling was near-instant in our testing. Xero also imports CSV statements cleanly for anything without a feed, and its statement import mapping is the least fiddly of the group.

Payroll options

Xero Payroll is built in rather than a separate product. On the Comprehensive plan (£47/mo) it is included for up to five employees; below that it is a paid add-on. It handles RTI submissions to HMRC, auto-enrolment pension assessments, statutory pay and payslip distribution through the Xero Me app. For our two-employee test company it ran without drama. Larger or more complex payrolls (CIS subcontractors aside, which Xero handles well) may still suit a dedicated payroll product.

Support: good answers, no phone line

This is Xero's most divisive trait. There is no phone number to ring at any price. Support runs through Xero Central 24/7: you raise a case, and an agent replies by email or offers a callback. Our two test cases got first responses in two and five hours respectively, and both answers were correct and complete. The self-serve documentation is excellent. But if "I can phone someone at 9am" is a requirement, QuickBooks or Sage will suit you better.

Pricing (checked July 2026)

All prices per month, excluding VAT. Xero usually offers a discount for the first few months; budget on the standard rate.

  • Ignite, £16: 20 invoices and 10 bills per month, bank feeds, MTD VAT filing. Fine for very small or new businesses.
  • Grow, £33: unlimited invoices and bills, expenses and mileage claims for one person.
  • Comprehensive, £47: adds payroll for up to five people, expenses for five, and multi-currency.
  • Ultimate, £59: payroll for ten, project tracking, advanced insights.

The Ignite caps are the trap to watch: 20 invoices a month sounds plenty until December. If you regularly invoice more, you are really buying Grow at £33, which changes the value comparison against QuickBooks Essentials and Zoho Books.

Users are unlimited on every plan, and your accountant connects free. That is a real cost advantage over per-user rivals as you grow.

Who it suits, and who it doesn't

Choose Xero if you run a limited company with a bookkeeper or accountant involved, you value fast reconciliation over hand-holding, or you need several people in the books without per-user fees. It is also the safest bet if you expect to grow: you will not outgrow it.

Look elsewhere if you are a sole trader wanting the cheapest MTD-compliant route (see QuickBooks' Sole Trader plan), you bank with NatWest, RBS or Mettle (FreeAgent is free), or you want phone support included.
